AHL's office in downtown Honolulu is seeking a proposal coordinator with strong proposal writing and communication skills, as well as knowledge of the AEC (Architecture, Engineering, and Construction) industry, to join our highly creative and collaborative team. This position focuses on coordinating and writing proposals. The ideal candidate will be a natural collaborator, eager to assist others and share ideas. Excellent communication skills, proactive problem-solving abilities, as this is a supporting role with responsibility for proposal direction and content; communication of AHL values in the creation, organization, and maintenance of marketing collateral; and contribution to a variety of marketing activities.
In this role, the proposal coordinator will work with cross-functional team members to identify opportunities and respond to Requests for Proposals (RFPs) and Requests for Qualifications (RFQs. The coordinator will manage the proposal development process to ensure the timely delivery of compelling, compliant, and well-written proposals.
- Proficient in the methodologies and protocols for developing Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and SF330 submissions aimed at acquiring new business prospects.
- Leading and coordinating the RFP process, writing content, developing and maintaining proposal schedule, and delivering completed proposals to clients before the specified deadline.
- Evaluating content in proposals to make sure it satisfies all RFP requirements and company brand standards
- Conducting post-submission close-out of proposals
- Collaborating virtually with teams across AHL
- Skilled in managing the entire proposal lifecycle. This involves vigilant monitoring of the HANDS Hawaii and GovTribe platforms for emerging opportunities, collaborating with subject matter experts (SMEs) to craft and refine written content, and curating appropriate imagery.
- Coordinate with internal teams to ensure the effective development of proposals and the successful execution of events.
- Craft and create proposals and presentations that align with AHL’s brand standards.
- Coordinate project workflow with studio leadership by defining key deliverables, assigning tasks, setting deadlines, and establishing internal checkpoints.
- Demonstrate strong time management and planning skills and excel in a deadline-driven environment
- Organize team page-turn meetings for review and feedback, ensure timely submission of materials, and conduct debrief sessions.
- Optimize the process for acquiring project close-out data to ensure the prompt completion of marketing collateral.
- Develop and maintain sector specific marketing content such as project narratives, graphics, photography, and video for use in proposals, brochures, company website, social media, etc.
- Collect, organize, and maintain all critical data for AHL project profiles and team member resumes.
- Ability to draft and edit project descriptions and award submissions, focusing on clarity and impact. The role is essential for ensuring that key messages resonate with our target audience and adapting the writing style and tone to meet the specific needs of diverse audiences.
- Ability to PERSONALLY GENERATE/write/develop creative, compelling (and winning) written responses to requests and solicitations.
- A thorough understanding of proposal and presentation best practices and tools, including conveying messages, themes, discriminators, and responses to evaluation criteria.
- Strong ability to adapt writing style to suit various platforms and formats, including formal reports, engaging marketing content, and professional emails.
- Facilitate meetings with the PR firm to enhance collaboration and align messaging.
- Leverage InDesign and Photoshop for the design and enhancement of impactful marketing collateral.
- Other specific responsibilities as assigned.
Candidates for this position must possess strong management skills and demonstrate the ability to handle multiple tasks efficiently. Excellent writing skills are essential for effective communication and documentation. Prior experience in the Architecture, Engineering, and Construction (A/E/C) industry is required. A thorough understanding of database management, desktop publishing, and word processing is essential for this role.
Salary Range $65,000 to $85,000
